Artemis Solutions Limited (company number 09625904), trading as Artemis Software, is the controller for personal information used through this public business website. This notice covers website enquiries, technical operation and optional website analytics; a client engagement may have separate contractual privacy arrangements.

• Enquiries: your name, work email, organisation, optional telephone number and the project, partnership or procurement details you submit.
• Technical operation: IP address, request and error information, browser details and security information processed by hosting services.
• Optional analytics, after acceptance: browser and session identifiers, public page visits, device and browser information, referral sources and selected website interactions.

We receive enquiry information directly from you and technical information from requests your browser makes. The enquiry form does not accept file uploads. Do not send access credentials, medical records, identity documents or other sensitive personal information through it.

• Responding to business enquiries: our legitimate interests in understanding requests, communicating with business contacts and developing suitable business relationships. If you personally ask us to take steps towards a contract with you, the basis is those pre-contractual steps.
• Security, abuse prevention and business records: our legitimate interests in protecting the service and keeping proportionate records; legal obligation where retention or disclosure is required by law.
• Optional website analytics: your consent to understand website use, improve content and assess which pages lead to enquiries. You can refuse or withdraw without affecting your ability to use the website.

We balance our legitimate interests against your rights. You can object to processing based on legitimate interests. Submitting an enquiry does not subscribe you to marketing. Advertising tracking, remarketing and session recordings are not enabled.

Name, organisation, email and the required enquiry details help us understand and answer your request. Telephone and fields marked optional can be left blank. Without the required contact details we may be unable to respond. Reading the public website does not require you to submit an enquiry or accept analytics.

Enquiries are stored in protected records for authorised administrators. Your contact details and submitted answers are also emailed to our enquiry mailbox so relevant staff can assess and respond to your request. Copies of those emails are handled through our business email service.

Service-provider categories include website and media hosting, database storage, security and transactional email delivery. Our business email service also processes correspondence. Google provides optional analytics after acceptance. Professional advisers or authorities may receive information where necessary for legal duties or claims. We do not sell enquiry details or share them for third-party advertising.

We do not send names, email addresses, telephone numbers, messages or other form contents to Google Analytics. If another delivery company needs substantive project information, we explain the proposed involvement before sharing it. External links have the destination provider's own privacy information.

Hosting, email, Google Analytics and supporting services may process information outside the UK, including in the United States. A UK-based engineering team does not mean all website information stays in the UK.

Restricted transfers require a lawful mechanism, such as UK adequacy regulations or contractual safeguards recognised under UK data-protection law. Contact us for information about the providers and safeguards relevant to your information, or a copy of available safeguards with confidential details removed. Retention depends on the purpose rather than an unlimited right to keep data. For an enquiry, relevant factors are whether it remains open, whether you have requested further contact, whether it leads to a contract, and whether particular records are needed for a legal obligation or claim. Enquiries that are no longer needed should be deleted or anonymised; entering a discussion does not justify keeping every submission indefinitely.

Your browser preference is retained for 180 days. Analytics cookies are configured for up to 180 days while consent remains valid. The Google Analytics property's event-data setting is two months and its user-data setting is 14 months, with the latter reset on new activity. These controls do not determine the lifetime of all aggregate reports. Technical logs and backup copies follow providers' operational retention arrangements. Ask us for the retention decision applicable to your record or to request deletion.

The site uses HTTPS. Enquiry access is restricted to administrators, with submissions validated on the server. The form also uses an on-site anti-spam check and shared submission limits. This check does not use an external CAPTCHA provider, store visitor IP addresses in the enquiry-verification records or set tracking cookies. Security also depends on appropriate administrator access and the hosting and email services. No internet service can promise absolute security.

Use the Privacy button or Cookie settings in the footer to refuse or withdraw analytics consent. Withdrawal stops future collection; it does not itself erase information already processed. We do not make decisions with legal or similarly significant effects about you using automated processing through this website. Illustrative product screens do not submit real consultation responses. Depending on the processing and applicable conditions, you can request access, correction, erasure, restriction or a portable copy of your information. You can object to processing based on legitimate interests, including any direct marketing. Where processing relies on consent, you can withdraw it without affecting earlier lawful processing.

Use the privacy contact above. You do not need a particular form. We may need proportionate information to confirm identity. Requests are normally answered within one month, subject to lawful extensions or clarification requirements.

You can raise a concern with us or complain to the Information Commissioner’s Office. We update this notice when the way the website handles information changes.
